Preparing the Program for Work
Before you start entering daily transactions and accounting operations, set up the basic work environment and define the main data that the program relies on in invoices, entries, and reports.
What Is This Stage For?
The preparation stage sets up the company file and defines the main items that daily transactions in the system are built on, so that you can then carry out purchasing, selling, receipts, and payments, and review reports with confidence and clarity.
In short: this page is the practical starting point before going live.
Suggested Preparation Path
1) Create the File
Create the company file for the current fiscal year and set its basic data, its location, and the database linked to it.
Go to Create New File2) Define the Basic Data
Prepare the accounts, customers, suppliers, materials, warehouses, currencies, and cost centers to suit your business.
3) Set Up Additional Systems
Enable only the features you need, such as expiry dates, serial numbers, barcodes, or the branches system.
What Should Be Defined Before Starting Work?
Before carrying out daily accounting operations, it is best to complete the following:
- The company file for the current fiscal year.
- The chart of accounts, to suit the nature of the business.
- Customers and suppliers.
- Groups and materials.
- Warehouses.
- Cost centers.
- Commercial papers, such as cheques and letters of credit.
- The currencies you will deal in.
- Invoice and entry properties, to suit the company's work procedures.
After that comes the stage of:
- Adding the opening entry.
- Entering the opening inventory.
- Then starting purchasing, selling, receipt, and payment operations, and reports.
Not all settings need to be the same for every company. Some items are essential for all users, while other settings depend on the nature of the business and the way you work.
